Job Purpose:
A Sales Coordinator uses his or her sales experience and leadership skills to motivate sales staff, handle administrative duties, and promote customer satisfaction. The Sales Coordinator will support sales representatives and coordinate sales-related activities but is not responsible for selling products.
Key Responsibilities:
Sales Support
- To help sales representatives improve their productivity and spend more time in the sales , sales coordinators provide a variety of support services. Such as preparing sales reports, Production Agenda, Printing Schedule & Delivery Schedule
- Responsible to ensure orders are received and archived and entered to the system.
- Sales coordinators can be in touch with customers to confirm delivery date of the material.
- Provide Finish Goods & Label stock reports to sales team.
- Meet with other departments such as ( Planning, Production and Warehouse, Purchasing & Finance ) to follow up the open orders and to assure products will be delivered on time.
- Follow up labels status with Purchase dept.
- Follow up Sales orders status on system and approval with concerned departments to ensure order is released for delivery.
- Communicate to sales members and inform about the expected delivery date via right channels.
- Provide Monthly sales report to management frequently to update open orders and ensure accurate sales plan.
- Sales Coordinator ensure that the sales reps have enough sales support material, such as product brochures or case studies.
Order Satisfaction
- Sales coordinators contribute to customer satisfaction by ensuring the accuracy and timely processing of orders.
- Handle orders by telephone, email or mail, and they also check that the orders have the correct prices, and product numbers, and will contact customers to resolve any queries.
- They inform the customers of any delays and will arrange alternative delivery dates.
- Collaboration with other departments is an important responsibility for sales coordinators.
- Direct contact with planning department to ensure that all orders are given to them and delivered to production team.
Coordination
- Daily meeting with planning team and production to ensure customer orders are processed without delay.
- Update planning team with any new orders.
- Weekly follow up with purchasing department related to labels arrival and other purchased material.
- Frequent meetings 2 to 3 per week with warehouse team to ensure deliveries are on time.
- Sales coordinator will help sales team to provide them stock report, collection report and statement of account and invoices as well in case sales rep requested a help.
Required Skills & Qualifications
- Education: Bachelor’s degree in business administration or relevant field.
- Experience: Experience of more than 3 years in the Sales field as a Sales Coordinator or a similar sales position with a background in manufacturing or a similar industry.
- Technical Skills: Excellent skills for computer (MS Office) , Specially Excel.Experience using Oracle System
- Negotiation: Proven ability to handle price increase disputes and negotiate MOQs (Minimum Order Quantities).
- Communication: Proficiency in English. Excellent verbal and written communication skills.
Personal Competencies and Attributes: Analytical thinking. Ability to communicate with sales team & planning/ production.
